How can I change existing icons or add new icons?

In Engage Process, process descriptions use intuitive icons to visually tell the story of your processes. While the platform includes many icons by default, you can also add custom icons or replace the standard ones to better match your organisation’s style or branding.

1. How do I add new icons or process steps?

1. Go to the Steps Library in the Admin Center (left-hand menu).

2. Click + Create new step type in the top left to begin adding a new process step.

3. Enter a name for your new step and either choose an icon from the existing library or upload your own image.

4. Define how the process step should behave by selecting one of the following types:

   • Task — same properties as the standard ‘Manual’ step.

   • Automatic — similar to “Task” but without the ‘Roles’ field.

   • Milestone — same properties as the standard milestone step.

   • Waiting moment — same behavior as the standard waiting moment.

   • Decision — includes at least two outgoing arrows, indicating a branch in the process.

   • Process coupling — includes expand/collapse behavior (like subprocess).

   • Subprocess — allows expansion and collapse of the subprocess block.

5. Save the new step type.

6. New custom icons always appear at the end of the icon bar on the Start tab in the Modeler. If you don’t see it, click the Eject button to expand the icon bar.

Note: Deleting a custom step type will replace it with the default Other step in existing processes where it has been used.

2. How do I hide default process step icons?

1. Open the Steps Library in the Admin Center.

2. Select the default process step you want to hide.

3. Click Hide this step at the top right.

   • This will remove the step from the Modeler’s Start tab for all users.

   • Hidden default steps remain visible in any processes where they have already been used.

   • Custom steps you added cannot be hidden.

3. How do I change the icons of default process steps?

1. In the Admin Center, open the Icon style section (left menu).

2. If you don’t already have a custom style, click + Create your own style.

   • Give it a name and select the style you want to base it on.

3. You will now see all default icons used in Engage Process.

4. Click any icon you want to change and then click Change (top right).

5. Choose an icon from the existing library or upload your own image.

6. Save your changes.

4. How do I apply a custom icon style in the Modeler?

1. Open any project in the Engage Process Modeler.

2. Click the Icon Style button on the Start tab.

3. Scroll down to find your custom icon style (usually at the bottom).

4. Select your custom style to apply it — the icons in the Modeler will update to your custom versions.

5. Repeat these steps in any other projects where you want the custom icons applied.
