How can I change existing icons or add new icons?

Process descriptions in the Engage Process Platform consist of easy-to-use icons, so that they can visually tell the ‘story’ as much as possible, allowing everyone in the organisation to easily read and understand them.

 

Many different icons are present within our platform, but of course it may be that your processes require additional icons in order to align with your branding and visualise your processes in the best possible way.

 

Therefore, it is possible in the Admin Center to add your own icons. Basically, you add a new type of process step. In addition, you can also replace the standard icons within the Engage Process Platform with icons of your own choice.

 

This article describes how to manage the icons.

 

How do I add new icons/process steps?

  • Click on the ‘Steps Library’ on the left-hand side. You will see all available process steps that can be used to draw a process in the Engage Process Modeler.
  • Click ‘+ Create new step type’ on the top left to add a process step.
  • Give the process step a name and choose an icon from the available library or select your own image.
  • Finally, define how the new process step should behave. You can choose from:
  • Task: the process step is given the same properties/fields as e.g. the process step ‘Manual’.
  • Automatic: the process step is given the same properties/fields as the process step ‘Automatic’. Namely, these are the same properties as those of a ‘Task’ (see above), but without the ‘Roles’ field.
  • Milestone: the process step is given the same properties/fields as the ‘Milestone’ process step.
  • Waiting moment: the process step is given the same properties/fields as the ‘Waiting moment’ process step.
  • Decision: the process step is assigned the same properties/fields as the ‘Decision’ process step. So there will be at least two arrows from this icon, as this denotes a decision “branch” in the process.
  • Process coupling: the process step is given the same properties/fields as the process step ‘Process coupling’ incl. the ability to fold out and in.

o Subprocess: the process step is assigned the same properties/fields as the ‘Subprocess’ step, including the option to expand and collapse.

The rest is self-explanatory.

 

Note!

- New process steps are always the last icon to be added to the icon bar on the ‘Start’ tab. If you don't see the icon, expand the icon bar by clicking the ‘Eject’ button on the far right (see below).

  • If you remove a process step added by yourself, this process step will be replaced by the ‘Other’ process step (see below) in all processes where the process step has already been used.

 

Tip!

You can of course put the actions to be performed in an application in a document and link this document to a process step. You can also list them in the ‘Description’ field of the process step, but if you would like to see them visually in the process itself, you can create a new process step of type ‘Subprocess’ with the computer icon from the library as its icon and then fill this ‘subprocess’ with process steps of type ‘Computer’ that show the different actions. If you don't want to see this detail then don't unfold this new subprocess, but for a slightly less experienced employee it might be useful, so they do unfold the subprocess.

 

How do I hide the default process steps in the Engage Process Modeler?

If you don't want to use one or some of the icons that are present by default in Engage Process Modeler, you can hide these icons in the Admin Centre.

  • Click on the ‘Steps library’ section on the left. You will see all the process steps present that can be used to map a process in the Engage Process Modeler.
  • Click on the process step you want to hide and click ‘Hide this step’ at the top right. The process step disappears for every user on the ‘Start’ tab in the Modeler, so it cannot be used from then on.

 

Note!

  • Process steps added by you cannot be hidden.
  • However, process steps that are hidden will remain visible in the processes where they have already been used.

 

How do I change the icons of the default process steps?

Of course, you may not like our icons and want to replace them with other icons. You can!

  • Click on the ‘Icon style’ section on the left. If no own icon style has been created yet, click the ‘+ Create your own style’ button and give it a name. Under ‘Based on style’, select the style that the other icons in your environment have.
  • You now see an overview of all icons present by default within the Engage Process Platform. Some icons are available in the Modeler to map a process and some icons are automatically added by the application in the process based on a certain action.
  • Click on the icon you want to change and press the ‘Change’ button in the top right.
  • Choose an icon from the available library or select your own image.

 

The rest is self-explanatory.

 

To use an icon style, perform the following actions:

  • Open a project in the Engage Process Modeler and press the ‘Icon Style’ button on the ‘Start’ tab. The custom icon style is at the very bottom. Once you select it, you will see the various icons replaced by the custom icons.
  • Repeat the above step for all other projects where you want to use the modified icons.
