How can I comment on a process (step)?

Posting, changing and deleting a comment and notifications.

In the Viewer, and provided the correct permissions are granted by the process designer, you can leave comments on a process or on individual process steps.

Comments are used to:

  • report errors,

  • ask for clarification,

  • suggest improvements,

  • or provide general feedback.

All feedback is valuable and can be shared by leaving a comment.

Post a comment

You can leave a comment on:

  • the entire process, or

  • a specific process step.

To start, make sure the process is open in the Viewer and click the Comments button in the top-right corner of the screen.

 
 

The Comments window will open.

Add your comment

  1. Click in the field “Add a comment…”.

  2. Enter your comment text.

  3. After typing, additional options will appear:

    • Use the slider to indicate whether the comment applies to:

      • the entire process, or

      • only the selected process step.

  4. (Optional) Mark the comment as Important by selecting the checkbox.
    When selected, the comment will be highlighted with red text.

To comment on a specific process step, first click the step in the process and then add your comment.

When finished, click Next and post the comment.


Note

If you are using a general Viewer account, make sure to enter your:

  • name

  • e-mail address

in the field “Please enter your contact details” before posting the comment.


Changing or deleting a comment

You can edit or delete your own comments by clicking the three dots in the top-right corner of the comment.

 
 
 

Please note

You can only edit or delete a comment if:

  • it was created by you;

  • it still has the status New (indicated by a blue bar on the left side);

  • it has not yet been replied to.

Once a comment has been processed or replied to, it can no longer be changed or removed.


Notifications

After posting a comment:

  • the process designer (and/or other configured users) receives an immediate e-mail notification;

  • the process designer can:

    • request additional information,

    • accept the comment,

    • or reject the comment.

You will receive an e-mail notification when the status of your comment changes or when a reply is added.
