How can I create my own Teamboard?

All about fields, actions, tasks and views.

When creating a new Teamboard, there are a number of templates available to choose from. We recognise that, while templates can provide a step in the right direction, they may require minor adjustments to suit the specific needs of an organisation. Therefore, we provided a resource to help manage these changes, called ‘Board Settings’!

 

Open the Board Settings by clicking on the cog at the top of the application, behind the name of the open Team Board.

 

The board settings are divided into a few main categories:

- General

- Fields

- Actions*

- Tasks*

- Views

 

*The name shown may differ from the name you see. This depends on the template chosen when creating the team board. In this example, we will use the ‘Action list’ template.

 

General

In this section, you can define what you want to keep track of on the team board. Think of: actions, notifications, improvement proposals, projects, etc. When changing the names, these names are immediately updated and reflected in other placements throughout the application.

 

Team boards can be linked to one or more processes, so actions can also be linked to processes and/or process steps. You can only select shared and published processes here. These (versions of) processes are therefore in the Viewer (App).

 

Trying to link a task to a (version of a) process that is in progress and therefore only in the Modeler? This can only be done in combination with using ‘Findings’ in the Modeler. Whether the opened team board is suitable for use in combination with ‘Findings’ is indicated by a sentence at the bottom of the window.

 

If the board is not suitable (yet), click on ‘What does this mean?’ and an explanation will follow with recommended adjustments you can make.

 

Fields

This section shows an overview of all fields used in the open team board. Fields can be added here by clicking the ‘Add’ button, or deleted by clicking the red cross behind them. Some fields cannot be deleted, as they must be present to support Teamboard's standard functionality.

 

Click on a field to view and/or modify some field properties. For example, you can rename the standard fields that cannot be deleted, so that the naming better suits your organisation and way of working. In addition, fields form the basis for creating a form.

 

Actions

In this section, you can set up the form that will be used to record information about, in our example, actions. Several forms can be created, each with its own name and different fields on the forms. To do this, click the ‘Add’ button. The dot-down triangle in front of the ‘Add’ button allows you to switch between the different forms.

 

It is possible to give each form its own colour and icon to easily recognise the type of action on the team board.

 

In the centre of the window, you can tick which fields should appear on the form and in what order they should appear. Changing the order can be done using the 6 dots behind the field. Click on the dots and move the field to the desired position.

 

Actions can be divided into smaller individual tasks. Tasks have their own form, but a list of existing tasks can also be displayed on the form of the action. Selecting which columns should appear can be managed on the right-hand side of the window.

 

Tasks

This section sets up the form that will be used to record information about, in our example, tasks. You can design only one task form.

 

Here the name, colour and icon can be changed. Same as with the action, it is determined which fields should appear on the form and in what order.

 

Views

In this section, you can specify which information is displayed on the cards that then appear on the team board. The tickets are a simplified representation of the information on the form, so that the status of the various actions remains visible at a glance. These tickets can easily be moved around on the board using drag-and-drop.

 

In Teamboard, you can set the information on the tickets or other items within each view. At the top of the window next to the name of the view, click the triangle with the point down to switch views.

 

In the following views, the information on the tickets can be set:

- Default

- Kanban

- Task board

 

Ticking fields make this field visible on the ticket. There is a maximum number of fields that can be shown. By clicking on a field, various settings of this field can be determined.

There are two views that do not have tickets shown and these are the ‘Table’ view and the ‘Calendar’ view. In the ‘Table’ view, the desired columns are set, and in the ‘Calendar’ view, the starting day of the week is selected.

 

Activate new board settings

After clicking <Chord>, the new board settings are activated and the board will be reloaded.
