Authorisation
A team board, as the name might suggest, is often created for use by a team or other group of people. By default, when a new board is created, it is only visible to the user who created it.
This article describes how you can give other users access to a board and the options that come with it. You do this by adjusting the authorisation of the board.
Authorisation
Open the board you want to share with one or more other users, then press the hamburger icon in the top left to open the menu. Then choose the ‘Authorisation’ option. If you do not see this option, then you are not authorised to modify user permissions. In that case, ask the owner of the board to give you this right.
The window below appears:
Add or remove users and/or user groups using the corresponding buttons. Select the role of the user/user group with regard to this board. Based on the chosen role, the appropriate rights will automatically be selected. Below is a brief explanation of the various rights:
- Read: the right to open and view a board and its contents;
- Modify: the right to change the name and settings of a board, as well as to add new work items to the board or modify or delete existing work items;
- Create: the right to add work items to a board;
- Delete: the right to delete work items on a board;
- Authorise: the right to change the authorisation of a board;
- Modify own: the right to modify only work items placed by you;
- Remove own: the right to remove only the work items that you have placed.
A user's actual rights are shown in the Combined Rights column. This is the sum of the rights the user has been granted at an individual level and/or has been granted by the user group(s) of which they are a member, or when rights have been granted to the organisation.
To check which groups a user belongs to, select the user and press the Show membership button. This membership can only be changed by the administrator at the Users and groups section in the Engage Process Admin Center.
Note!
Each board must have at least one user (or user group) with the Owner role. By default, this is the user who created the board.

Even if a user is not explicitly shown in the above window; the user may still have rights because the user is part of one or more user groups and is part of the organisation.
