How can I view a process in different ways?

The power of the Engage Process Platform lies in its flexibility: you can view a process from multiple perspectives and display only the information that is relevant at a given moment.

A process can contain a large amount of information per step. Showing everything at once often reduces readability. That is why you can control what information is shown and how it is displayed.

All display options can be found on the Layout tab in the Modeler.

The options within the Diagram font and Zoom button groups are self-explanatory. The sections below explain the remaining options.


Show / Hide

The Show / Hide button group allows you to control which information and components are visible in the process diagram.

The most commonly used options are shown directly on the left side of the tab. Clicking All options opens an extended window containing all available display settings (except Input / Output, RASCI and Measures).

Indicators

Indicators are small coloured icons shown on process steps. You can enable indicators for:

  • Annotations – Indicates that text is present in the Annotations field

  • Findings – Indicates one or more findings linked to the step

  • Documents – Indicates one or more linked documents (including document-type input/output)

  • Description – Indicates text in the Description field

  • Remarks – Indicates text in the Remarks field

  • Comments – Indicates one or more comments on the step

Labels

When enabled, the value of the Label field is shown instead of the step number.
This is often used for alternative step numbering. When Labels are enabled, Numbers are automatically disabled.

Notes

Displays the content of the Note field as a coloured memo on the process step.

Connections

Shows the connecting lines between a Go to icon and its destination.
This option is often disabled to reduce visual clutter and improve readability.

Value Added

Colours the background of process steps based on their value classification:

  • Red – No value added

  • Yellow – Business value added

  • Green – Customer value added

Note: For each custom table type you create, an additional display option will appear in All options. When enabled, this value is shown instead of the role, and the Roles option is automatically disabled.


Layout

Processes can be displayed using two different layouts:

Value Stream

Displays the process based purely on its flow.

Swimlanes

Displays the process flow divided into horizontal lanes, based on a shared attribute (such as role).

Standard Swimlanes

  • Roles Swimlanes – Each lane represents a role involved in the process

  • Value Added Swimlanes – Lanes represent Customer, Business and None value added

Note: For each custom table type you create, an additional swimlane option becomes available.

Note: If a swimlane named Undefined appears, this means one or more steps have not yet been assigned a value for that swimlane criterion.


Diagram Filter

The Diagram Filter allows you to temporarily hide specific process steps to improve readability or to focus discussions on relevant parts of the process.

How to use the Diagram Filter

  1. Open the process you want to filter

  2. Go to the Layout tab and click Modify filter

  3. In the filter window:

    • Uncheck step types you want to hide

    • Uncheck values in other columns to filter steps by their attributes

Important: If nothing is unchecked in a column, all steps are shown regardless of value.

  1. Click OK to activate the filter

When a filter is active, an indicator appears in the top-left corner of the diagram.
Using the three-dot menu, you can quickly enable, disable or modify the filter.

Tips

  • If you uncheck Step types, only the minimum structure of the process remains visible:
    start points, end points, decisions and parallel branches. This effectively shows the decision tree of the process.

  • The Evaluate function on the Analysis tab only calculates based on visible steps.
    For example, showing only manual activities allows you to calculate the time spent exclusively on manual work, providing deeper insight into process performance and optimization opportunities.


Viewer (App)

Most of the options described above are also available in the Viewer (App).
