How can we set up the approval of processes?

In this article, we will discuss how to set up process approval. In the Admin Center, the basis for this approval can be laid in the 'Approval' section.

 

General settings

At the top of the screen, you'll find two options that centrally determine how you want process approvals to be handled.

 

The top option allows you to set whether all processes always require approval before it can be submitted for publication in the Engage Process Publisher.

 

With the bottom option, you can set whether a user of the Engage Process Modeler can decide for himself who should approve the process.

 

Please note! Approvers set up in the Admin Center cannot be customised by a user in the Modeler. Not even if the option is checked that Modeler users can determine this themselves. The Admin Center is therefore leading.

 

Set up approvers

In the Admin Center under the 'Approval' section, you can set who should approve the process in question for each process. To do this, use the information in the 'Projects' and 'Processes' boxes.

The contents of the Projects window are in order of the project's creation date. The most recently created project are at the top, because there is a good chance that no approvers have been set up for it yet.

The contents of the Processes window are in order by the modification date of a process. The last modified process is at the top, because there is a good chance that no approvers have been set up for it yet.

 

Setting up approvers is done as follows:

  • Go to the Admin Center.
  • Click the "Approval" section.
  • In the "Projects" box, click on the project whose process approvers you want to set.
  • In the 'Processes' box, click on the process for which you want to set up the approver(s) and press the 'Edit approvers' button at the top of the box.
  • Click on the group(s) or user(s) that need to approve this process and click <OK>.
  • If you have selected a group, you can now set in the 'Number of approvers' column per group how many users within that group should approve if there is more than one user in the group.
  • Finally, click <OK>.

The selected approvers will receive an email notification that they have been designated as approvers for a process.

 

Tip! The tests <Ctrl> and/or <Shift> can be used to select multiple processes at once, so that the same approvers can be assigned for those processes at once.

 

Please note! The list of approvers to choose from is formed and based upon which groups and users have been assigned the role of 'Approver' in the 'Users & Groups' section of the Admin Center.
