Project
The Engage Process Modeler automatically creates versions of the entire project. This usually happens at the beginning of the day, as soon as a user has made a change. You can then always return to the version of the project at the beginning of the day. In addition, as a user, provided you have the correct authorization, you can also create versions of the entire project yourself.
How do I save a version of the entire project?
Saving a version of the entire project, i.e. with all content, is done as follows:
- Open the project of which you want to save a version;
- Click on the 'Collaboration' tab on the 'Create project version' button;
- Enter this version and press <OK>.
How can I view and open previous versions of a project?
To view previously created (automatic) versions of a project, proceed as follows:
- Open the project for which you want to view previously created versions;
- Click on the Engage Process logo at the top left and select the option ‘Older versions’ in the middle column.
On the right-hand side, you will see an overview of all automatically and possibly manually created versions of the project.
To view an older version of the project, perform the following steps:
- Double-click in the overview of older versions, the version you want to open.
The project will be opened in a ‘read-only’ mode. You can therefore view all the content, but you cannot edit it.
Please note! In the middle at the top of the screen, you will now also see the date and time of the version you are viewing behind the name of the project. This will let you know that you are viewing a project whose content you cannot edit at this time.
How can I edit previous versions of a project?
If you still want to use an older version of the project as a starting point and want to edit the content again, first retrieve the old version of the project (see above) and then click on the 'Collaboration' tab on the 'Set version as current' button and confirm the security question with 'Yes'.
Please note! We strongly recommend that you first save a version of the current project before restoring an older version. If you do not do this, you will not be able to go back.
How can I delete an earlier version of a project?
It is possible to delete self-created or automatically saved versions of a project. Follow the steps below to delete a version of a project:
- Open the project from which you want to delete a version;
- Click on the Engage Process logo at the top left and select the option 'Older versions' in the middle column. An overview of older versions of the project will appear on the right;
- Click on the trash can behind the version you want to delete and answer the question that appears with 'Yes'.
Diagram
The Engage Process Modeler also automatically saves versions based on certain user actions, so that you can always return to a specific version. Automatically saving a version occurs when sharing, submitting for publication and submitting for approval of a diagram. You can of course also save versions of a diagram yourself.
How do I save a version of a diagram?
To save a version of a diagram yourself, proceed as follows:
- Open the diagram of which you want to save the current version as a version;
- Click on the 'Collaboration' tab on the 'Create diagram version' button and give your version a name;
- Finally, click on <OK>.
How can I view and open previous versions of a diagram?
To view an overview of previous versions of a diagram and possibly open one of these previous versions, proceed as follows:
- Open the diagram of which you want to see an older version;
- On the ‘Collaboration’ tab, click on the ‘Show history’ button or on ‘Show history’ followed by ‘Diagram version history’. An overview of previous versions of the opened diagram will appear;
- To view a previous version, double-click on a previous version in this overview. This older version can now only be viewed and not edited.
How can I edit previous versions of a diagram?
Older versions of a diagram can be retrieved and edited again. Follow these steps to achieve this:
- On the ‘Collaboration’ tab, click on the ‘Show history’ button or on ‘Show history’ followed by ‘Diagram version history’. An overview of previous versions of the opened diagram will appear;
- Double-click on the version you want to edit. The version initially opens in a ‘read-only’ mode;
- Now click on the ‘Collaboration’ tab on the ‘Set version as current’ button and confirm the question that appears on the screen with ‘Yes’;
- The older version can now be edited. The version of the diagram that was previously visible as the current version has now been automatically saved by the Modeler as a separate version with the description ‘Automatic version created after restoring older version’.
How can I delete an earlier version of a diagram?
Older versions of a diagram can be deleted. Follow these steps to do this:
- Click on the ‘Collaboration’ tab on the ‘Show history’ button or on ‘Show history’ followed by ‘Diagram version history’. An overview of earlier versions of the opened diagram will appear;
- Select the version you want to delete by clicking on it once and click on the ‘Remove’ button at the bottom left.
Please note! Diagrams with the status ‘Shared’ and ‘Published’ cannot be deleted in this way.
